Overview

The Xero integration is an automated export of invoice data, delivered directly into Xero.

What is XERO?

Xero is a cloud-based small business accounting software with tools for managing invoicing, bank reconciliation, inventory, purchasing, expenses, bookkeeping, and more. Xero is the alternative to QuickBooks. It’s modern, small-business accounting software that lives in the cloud. It’s accessible from any computer or mobile device, making for a smarter and easier accounting process.


Setup Steps

From the Purchases and Invoices feature, select an invoice to send to XERO as an invoice OR Credit Note. A user must have an invoice active and ready to set up this connection.

Steps 1 – 3 – Select Invoice (s) to send, Select “Export to Other Platform”, and then “Send Selected to XERO as _________”, and then “Ok” to proceed.

Step 4 – Sign in to Xero via “Start Xero Session”

After selecting “Send Selected to XERO as _________”, a pop-up will appear with information regarding the integration. Select the green button.

Steps 5 & 6 – User Login Information

Input the information of the Xero account that you will be sending invoice or credit data into.

Important Note:

Some accounts require MFA/2FA, which will send a text message, or direct pop-up to the owner of the account. Coordination of this set up may require you to be with the owner.

Step 7 – Authorize Xero and Sculpture Hospitality to communicate via connect.

Steps 8 – 10 – Xero information has been provided. Select your Account Category, review parameters, and Integrate!


Requirements

To set up this connection, a user needs to have the following information available:

  • Client XERO Login Information
  • Client XERO Password
  • Client accessible (2-step authentication is sometimes required)
  • Purchase Account Reference
  • Sales Account Reference

Send Data

Sending invoice or Credit Note data from the online inventory platform into XERO is easy once the connection has been setup. All a user needs to do is identify which invoice or credit note to send, select it, and then select the “Export to Other Platform” drop-down.

As displayed in a step-by-step below, when a client is connected with a specific user’s XERO account, you can send a selected invoice in four (4) quick steps.

  1. Select the Invoice to Send
  2. Select “Send Select to XERO as ________”
  3. Select “Ok”
  4. Select “Ok”


Disconnecting

To disconnect a connected XERO account, complete the following steps.
