Overview

The Quickbooks integration is an automated export of invoice data, delivered directly into Quickbooks.

What is QuickBooks?

QuickBooks is a small business accounting software program businesses use to manage sales and expenses and keep track of daily transactions. You can use it to invoice customers, pay bills, generate reports for planning, tax filing, and more. The QuickBooks product line includes several solutions that work great for anyone from a solopreneur to a mid-sized business.

Small business owners typically use QuickBooks to manage their invoices, pay their bills, and track their cash flows. They also use it to generate month- and year-end financial reports as well as prepare for quarterly or annual business taxes.


Requirements

To set up this connection, a user needs to have the following information available:

  • Client QuickBooks Login Information
  • Client QuickBooks Password
  • Client accessible (2-step authentication is sometimes required)
  • Income Account Reference
  • Expense Account Reference
  • Asset Account Reference

Setup Steps

From the Purchases and Invoices feature, select an invoice to send to Quickbooks.

Steps 1 – 3 – Select Invoice (s) to send, Select “Export to Other Platform, and then “Send Selected to QuickBooks”.

Important Note:

A user must have an invoice active and ready to set up this connection.

Step 4 – Sign in to QuickBooks via “Connect to QuickBooks”

After selecting “Send selected to QuickBooks” a pop-up will appear with information regarding the integration. Select the green button.

Steps 5 & 6 – User Login Information

Input the information of the QuickBooks account that you will be sending invoice data into.

Important Note:

Some accounts require MFA/2FA, which will send a text message, or direct pop-up to the owner of the account. Coordination of this set up may require you to be with the owner.

Step 7 – Authorize QuickBooks and Sculpture Hospitality to communicate via connect.

 

Steps 8 – 10 – QuickBooks information has been provided. Select your Account Category, review parameters, and Integrate

Send Data

Sending invoice data from the online inventory platform into QuickBooks is easy once the connection has been set up. All a user needs to do is identify which invoice to send, and select the “Export to Other Platform” dropdown.

As displayed in a step-by-step below, when a client is connected with a specific user’s Quickbooks account, you can send a selected invoice in three (3) quick steps.


Disconnecting

Depending on the connection type, users may be able to disconnect your connection directly from within the Sculpture System, if not, the connection must be terminated from within QuickBooks.

To disconnect a connected QuickBooks account, complete the following steps.
