Overview

The Merge feature can be used to replace (merge) one or more sizes with another size OR move (add) sizes from one brand item to another.

Merging items in different capacities is incredibly important within your client database. We do this to retain all historical data of that item and by brand or UPC. If we allowed users to delete items, all of this data would be lost.

Merging Scenarios

Merge Add/Move – This means to move an item from under one brand to another or to move all item sizes under a brand to be under another brand.

Merge Replace – This means to merge two items of similar sizes together, taking two items into a single item.

Restrictions

  • Any incomplete item with a [ ! ] will not be able to be merged until you fix the issue or complete the item.
  • You cannot merge items of different classes.
  • You cannot merge items of different sizes. Ie. a bottle with size “100 mL / BOTTLE” and a bottle without size (e.g. “1 / BOTTLE” cannot be Moved (added) but can be merged.
  • Items in different categories cannot be merged/added when the pour sizes defined for the categories are different. (This is probably rare to happen.)

Select Item Setup from Nav Menu

From anywhere within the Dashboard, locate the Item Setup button within the main navigation bar on the left side of your screen.

Check Items to Merge

Locate the items you need to merge within the item list. You can quickly search for items using the search functionality.  Once you locate the items, check the box next to each size! When you’ve selected more than one item, the Merge/Add button in the top right will become available to select if it is not already available!

Select a Target

The target is going to be the item that still exists after the merge – so it should be the correct one! In this case, the real name is spelled out Three and has the correct barcode, so that will be our target!

Confirm the Merge

After you choose a target, click OK, and then click Yes to confirm the merge!

This is different from just deleting an item as all occurrences of the merged size will be replaced by the target.

Merge Add/Move

Adding Items Instead of Merging

Merge Adding or moving keeps the size of the item, but allows you to move it from under one brand to another. In the example below, the 1000mL of 3 Olives Vodka will be moved under the 3 Olives Vodka. The final outcome being that 3 Olives Vodka has 2 – 1000mL bottles under it.Adding Instead of Merging

NOTE:

After using the above method, you should reopen the past four audit periods (at least) and reclose them while carrying mixes forward to ensure the modification is placed throughout those audits accurately.


Merging Cases

Restrictions

  • If the item is marked as [ ! ], you must complete it before merging the cases can occur.
  • You cannot merge cases outside of the parent item/brand.
  • You cannot merge cases of different quantities. Ie, you cannot merge a case of 6 with a case of 12.

Step-by-Step

In the scenario, Bud Light Beer has a 24 Bottle/Case and 24 Bottle/Package that should be merged together, where the Case is the target. The steps below outline how this is achieved.

From the Item Setup screen, select “Edit” and “Merge Packages” from within the specific item size.

The final outcome being as follows:
