Overview

The following is an explanation of how to create a new beverage item in the online inventory platform.


Step-by-Step

Select Item Setup from Nav Menu

From anywhere within the dashboard, locate the Item Setup button within the main navigation bar on the left side of your screen.

Click New Item Button

Once in the Item Setup, you will find a New Item button in the top right corner of your screen.

Step 1 – Name, Class, Category, & Quality

When you define the name of your item, it is important to name it as accurately and clearly as possible. This may include using the Manufactures’ Name, Product Name, Vintage, and Year.

Step 2 – Define Barcode

The items Barcode can be imported here by hand. You also have the option to scan it in if you have a scanner that has USB compatibility. This field is required in some instances, and not in others depending on the Classification in which you have assigned the item.

Step 3A – Unit Size – Liquor

Depending on your Classification Choice, Step 3 will be different. If the item is identified as “Liquor”, your outcome is 3A. If you did not select Liquor as your classification, continue on!

A liquor item is an item that can be counted and weighed. The system must calculate the Density of the liquid and can do so by completing the information below.

Step 3B – Unit Size – Beer

Depending on your Classification Choice, Step 3 will be different. If the item is identified as “Beer”, your outcome is 3B. If you did not select Beer as your classification, continue one!

A Beer item is used up in its entirety and not sold as a partial unit. The density of the item is not needed for these.

New Item - Step 3B

Step 3C – Count/Weight – Misc

Depending on your Classification Choice, Step 3 will be different. If the item is identified as “Miscellaneous”, you will need to identify whether or not the item will be counted or counted AND weighed in Step 3.

Count Only – An item that is used up in its entirety, similar to a beer bottle in liquor. These items can be part of a larger grouping of packages or individually standing.

Count & Weigh – When using count and weigh, you have the ability to inventory this item by each, or also by specific weight. In doing this, you will receive more questions and be asked about fixed sizes. This is ultimately the safest route to go when making an item.

Step 4 – Density

Density is only defined for liquid items that will be weighed! You can change the units of measurement by using the drop-down arrows.

If you identified the Volume, Empty Weight, and Full Weight in step 3, the system will automatically calculate your density in this step.

Step 5 – Packaging

In this step, you will need to decide if your new item comes in a package (box, case, etc.).

Step 6 – Packaging Details

If you selected Yes in step 5, you will need to provide the details to the item package!

Defining the Name of your Package is currently fixed to Case, Box, Bag, and Package.

If the package has a unique barcode that can be used to scan the item, please input it here. This will enable you to scan and count via this larger grouping as well as individually.

Summary & Save

Once you’ve completed all the New Item steps, you will be able to review all of the information you have inputted.  If everything looks good, click Save.
